Subject: Important Updates to Time Off and Timekeeping Policies - Effective Immediately
Dear Team,
I am writing to inform you of several updates to our HR policies, effective January 19, 2026. These changes have been implemented to standardize our practices across the company, ensure compliance with government contracting requirements, and provide clarity on employee benefits.
Please review the following summary of changes carefully.
Summary of Changes
1. Paid Time Off (PTO)
We are consolidating all time off into a single PTO policy that combines vacation and sick leave.
Key Details:
- Annual PTO: 120 hours (15 days) per year for all full-time employees
- Accrual: 4.62 hours per pay period
- Carryover: Up to 40 hours may roll over to the following year (effective January 1)
- Balance Cap: Maximum balance of 120 hours at any time
- PTO Payout at Termination: Accrued unused PTO is paid out upon choosing to leave the company, up to 40 hours (or the employee's standard weekly scheduled hours), unless a higher payout is required by applicable state/local law, provided notice is given and the final 2 weeks worked. Payout will not occur for involuntary terminations.
